ProTechCam ("ProTechCam," "we," "us," or "our") builds field‑service record tools that help contractors document their work. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
1. Who this policy covers
This policy applies to the ProTechCam mobile app, the ProTechCam web dashboard, and this website (together, the "Service"). The businesses that subscribe to ProTechCam are our customers. Those businesses control the records they create — including any information about their own end customers — and are responsible for how they use that information.
2. Information we collect
Information you provide
- Account & company details — name, email address, password, company name, and business contact information (phone, address) used to create and manage your account.
- Job records you create — customer names, service addresses, job types, notes, photos, short video clips, equipment details (model and serial numbers), and customer signatures that you choose to capture.
- Voice recordings & transcriptions — when you dictate notes, audio is transcribed to text so it can be saved to a record.
- Support communications — messages you send us.
Information collected automatically
- Location data (job documentation) — with your permission, the app records the GPS coordinates and address where a job is documented, so a record carries verifiable date, time, and location. You can decline location access in your device settings; some features (such as GPS proof) will not work without it.
- Background location (Time on Site) — if a technician grants "Always" location permission, the app logs when they arrive at and leave a location in the background, even when the app is closed, so the business can see time on site. This uses the device's low‑power visit detection, not continuous GPS, and can be turned off at any time in device settings. This feature is optional and off unless "Always" is granted.
- Device & usage data — basic technical information such as app version, device type, and error logs used to keep the Service running reliably.
3. How we use information
- To provide the Service — create, sync, store, and display your job records across the app, dashboard, and shareable reports.
- To process dictated notes and read equipment data plates using AI, so your records are organized automatically.
- To log technician arrival and departure times (Time on Site) when a business enables it and "Always" location is granted.
- To authenticate users, manage company teams, and enforce access controls.
- To process subscription payments and manage billing.
- To maintain security, prevent abuse, debug, and improve the Service.
- To respond to your support requests and send essential service notices.
4. How information is shared
We do not sell your personal information. We share information only with service providers that help us operate ProTechCam, and only as needed:
- Cloud hosting & database — to securely store your account, records, photos, and videos.
- AI processing — dictated notes and equipment‑plate photos are sent to an AI provider to transcribe and structure them; this content is processed to return a result and is not used to advertise to you.
- Payment processing — subscription payments are handled by a third‑party payment processor; we do not store full card numbers.
- Shareable reports — when you send a customer a share link or PDF, the people you share it with can view the record you chose to share.
- Legal — when required by law or to protect rights, safety, and the integrity of the Service.
5. Data retention
We keep your records for as long as your account is active so your service history stays available. When you delete a record, or close your account, we delete or de‑identify the associated data within a reasonable period, except where we must retain it to meet legal, security, or billing obligations.
6. Security
We use industry‑standard safeguards — including encryption in transit, access controls, and per‑company data isolation — to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
7. Your choices & rights
- Access & correction — you can view and edit your records in the app and dashboard.
- Deletion — you can delete individual records, and you can delete your account and its associated data at any time from within the app (or by contacting us).
- Location — you can turn location access on or off in your device settings at any time, including the background "Always" permission used for Time on Site.
- Depending on where you live, you may have additional rights over your personal data; contact us to exercise them.
8. Customer (end‑user) data
When a business uses ProTechCam to document work for its own customers, that business is the controller of its customers' information. ProTechCam processes that information on the business's behalf. If you are an end customer and want your information changed or removed, please contact the business that served you.
9. Children
ProTechCam is a tool for businesses and is not directed to children under 13. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice.
